Constitution of the Psychology Club

Of Villa Julie College

Article I. Name

Section 1. The name of this organization shall be Psychology Club of Villa Julie College.

Article II. Purpose

Section 1. To enhance psychology education through involvement in educational and service activities.

Section 2. To facilitate professional relationships with other students pursuing a psychology major and psychology faculty members.

Section 3. To promote service to community in a psychological institution.

Section 4. To engage in social activities that promote group cohesion among psychology majors.

Section 5. To function in accordance with all Student Government Association and campus regulations and policies.

Article III. Membership

Section 1. Membership is open to any current Villa Julie College student who is in good standing.

Section 2. Membership is to be renewed yearly.

Section 3. Membership is defined as involvement in three of the following:

Attendance at a single general meeting.

Attendance at a single committee meeting.

Attendance at a single event.

Involvement in a fundraiser.

Involvement in the planning of events, fundraisers, and other club activities.

Payment of an annual due fee of $10.00.

Article IV. Officers and Elections

Section 1. The officers of the Psychology Club shall include a President, Vice President, Secretary, Treasurer, Historian, Corresponding Secretary, and Publicity Coordinator.

Section 2. The Executive Board shall consist of the above-mentioned officers.

Section 3. The officers of this club shall be elected by the regular members of the organization and shall serve a one (1) year term.

Article V. Duties of Elected Officers

Section 1. The duties of the President shall include:

A. Serving as the chief administrative officer.

B. Presiding over the meetings of the organization.

C. Delegating duties.

D. Suggesting new ideas and initiatives for the club.

E. Representing the organization in all dealings with affiliated organizations, administration of the College and the community.

F. Responsibility for all members’ involvement.

G. Assisting other officers.

H. Having enthusiastic attendance at club sponsored events.

I. Representing the club’s best interest at all times.

Section 2. The duties of the Vice President shall include:

A. Presiding over the meetings of the organization in the absence of the president.

B. Carrying out the duties and responsibilities assigned to him/her by the president.

C. Defining all duties and responsibilities to chairpersons and to provide assistance to the chairpersons in the fulfillment of their duties.

D. Assisting the president and other officers.

E. Responsibility for members’ involvement.

F. Maintaining the club website.

Section 3. The duties of the Recording Secretary shall include:

A. Assisting the president with official correspondence of the organization.

B. Maintaining and distributing minutes of all regular and special meetings of the organization.

C. Keeping a revised copy of the constitution and bylaws available for members at all times and distributing to the membership any changes in the bylaws.

D. Preparing a roster each semester to include the address, phone number, and email address of each member. Using this information, complete the Club Registration Form each semester.

E. Presiding over the meeting of the organization, in absence of the president or vice president.



Section 4. The duties of the Treasurer shall include:

A. Being responsible for the collection and accounting of all fees and other monies belonging to the organization.

B. Completing all paperwork required by Student Activities Officer.

C. Brining money to Student Activities immediately after events.

D. Writing proposals for fundraisers.

E. Contacting Student Activities for the use of a cash box.

F. Reporting the financial standings to the organization.



Section 5. The duties of the Historian shall include:

Maintaining club scrapbook.

Responsibility for taking pictures at activities.

Developing and collecting pictures from events.

Organizing photo albums.

Maintaining bulletin board.



Section 6. The duties of the Corresponding secretary shall include:

Maintaining correspondence within and outside Villa Julie.

Keeping Faculty and staff informed of events.

Inviting Faculty and staff to events.

Sending invitations and thank you cards.

Serving as contact person for events not sponsored by VJC.

Section 7. The duties of the Publicity Coordinator shall include:

Publicizing all events.

Creating and posting advertising materials.

Maintaining records of every flyer chronologically.

Article VI. Elections of the Executive Board

Section 1. Only members who have attended at least three general club meetings and one additional club event are eligible to vote in officer elections.

Section 2. Elections will be held in the spring semester, preferably in early April, to ensure sufficient time to train new officers. If the president graduates mid-year the Vice President will assume the President role. If this person does not want to be President, elections will be held.

Section 3. Elections will be conducted using paper ballots.

Section 4. The club moderator and one additional member not running for office will count the ballots and disclose the outcome.

Section 5. In the event of a tie, a runoff election shall be held immediately in accordance with the procedure above.

Article VII. Amendments

Section 1. This constitution shall be amended in accordance with the following procedures:

1. The proposed amendment shall be presented to and discussed among the club members during a regular club meeting.

2. The vote to approve or deny the amendment will occur at the next scheduled meeting after the presentation and discussion of the amendment.

3. Amendments to this Constitution shall be instituted by means of two-thirds vote of the members present at the next regular meeting of the club.

4. Following the approval by a two-thirds vote of an amendment, this constitution will be revised and all members not present will be made aware of the amendment via e-mail.
